Secretarial and Administrative Assistant

Job Description and responsibilities:

INNOVA Europe is looking to hire a Secretarial/Administrative Assistant for its office in Brussels.

The work involves secretarial and administrative activities, giving administrative backup to project managers on a broad range of tasks such as preparation of presentation documents, gathering of information from other partner organisations, reviewing technical texts written in English. We look for a motivated person willing to work hard and on a broad range of activities.

Activities connected with information and communication management as well as data treatment/gathering will be part of the daily tasks.  Good communication, customer service and interpersonal skills are vital to the performance of the job activities. A strong knowledge of software applications and IT network system will be considered as an asset.

Responsibilities and foreseen scope of activities:

  • Performing and coordinating the office administrative activities such as storing, retrieving, and integrating information for dissemination to staff and clients;
  • Provide administrative and technical assistance to project managers;
  • Manage travel and guest arrangements;
  • Providing support on workshops/events organisation, producing and maintaining documentation;
  • Office Information and communication management:
    • Answering phones and transferring calls;
    • Maintenance and update of company website;
    • plan and schedule meetings and appointments;  
    • Conduct researches on internet and retrieve data from various sources;
    • Disseminate information by using the telephone, mail services, web sites, and e-mail.
  • Provide IT support - through the use of a variety of office equipment, such as fax machines, photocopiers, scanners, and videoconferencing and telephone systems
  • Responsible for Office Supplies, maintain and examine leased equipment.

Requirements:

  • Higher secondary education completed by 2-3 years of further studies or equivalent professional experience;
  • Capability of working in multicultural environments and excellent communication skills;
  • Multitask performance and capacity to work well under time constraints;
  • Working hours flexibility;
  • Excellent use of English (mother tongue level or equivalent) and fluency in French, both written and spoken. Other languages such as Flemish are considered beneficial;
  • IT skills will be considered  an advantage;
  • Work experience in EU related activities will be considered an advantage.
